1. Information we collect
When you submit an RFQ or contact us, we may receive business contact details, vessel information, delivery information, product descriptions, billing notes and files that you choose to upload.
Basic technical information may also be recorded by the web host for security and service operation, such as IP address, request time, browser type and error records.
2. How we use information
- Review and respond to RFQs and business enquiries.
- Clarify specifications, availability, delivery and quotation requirements.
- Coordinate with suppliers, logistics providers or appointed agents where necessary for the request.
- Protect the website, prevent abuse and troubleshoot delivery errors.
- Meet applicable legal, accounting or record-keeping obligations.
3. Files and sensitive information
Do not upload passwords, port access credentials, security procedures or personal information that is not necessary for the RFQ. Uploaded files are validated and attached to the RFQ notification; they are not placed in the public media library. Request text and delivery status are stored in the private hosting storage, outside the public website, for up to 30 days to support follow-up. Hosting and email providers process this information to operate the service.
4. Sharing
Information may be shared only with personnel and service providers who need it to review, quote, source, coordinate or deliver the requested goods or services. We do not sell RFQ information.
5. Cookies
The RFQ form uses an essential session cookie for security controls such as CSRF protection and submission status. This website does not enable advertising or analytics cookies. If optional analytics are added, this policy and the consent approach must be updated first.
6. Retention and security
RFQ records may remain in company email, quotation, accounting or operational systems for as long as reasonably required for the enquiry, transaction, dispute, legal obligation or security purpose. Reasonable safeguards are used, but no internet transmission or email system can be guaranteed completely secure.
7. Access and correction
Subject to applicable law, you may request access to or correction of personal information associated with your business enquiry. Requests may require identity and authority verification.
8. Contact
Privacy questions may be submitted through the published contact channel or by email at info@veridockmarine.ca.
